Deliver a project

Hand the estimate to the field as a WBS, and push it to your PSA at the right moments.

The Deliver tab presents the project as a phase-based Work Breakdown Structure for your delivery team. All tasks from all cards are grouped by Phase in the configured delivery order.

• Each task shows its name, parent card, and estimated hours
• Expand any task to see its checklist items — check them off as work is completed (available in Planning, In Progress, and In Review)
• Use Export XML to download a Microsoft Project-compatible file
• If the project is linked to a PSA, use Sync Plan to push the WBS iteratively while estimating, and Finalize & Start → when the bid is won to do a final sync and lock the estimate
• Use Pull Actuals to import logged time entries from the PSA once work is underway

Two-stage PSA workflow

DarkBird follows the natural PSA sales-to-delivery pipeline:

   Create Opportunity (Quoting)

   Click the link icon in the project header → Create Opportunity. Select the client from your PSA, confirm the name, and DarkBird creates the opportunity and immediately pushes your full BOM as product line items and a labor summary line. Products previously synced from your PSA are matched by catalog ID; other products appear as description-only lines.

   Win & Convert in PSA

   When the opportunity is won, convert it to a project inside ConnectWise or HaloPSA using your normal workflow.

   Re-link to the Project

   Back in DarkBird, click the link icon → Link Existing and find the newly created project. This replaces the opportunity link with the project link.

   Iterate with Sync Plan

   While still in Planning, use Sync Plan on the Deliver tab to push the latest WBS (phases, tasks, budget hours) to the PSA project as the estimate evolves. Push as often as needed — it overwrites the previous plan.

   Finalize & Start

   When the estimate is final and work is ready to begin, click Finalize & Start → on the Deliver tab. This pushes the plan one last time, locks the estimate, and moves the project to In Progress. The Sync Plan button is hidden after this point.

   Pull Actuals

   After the job, click Pull Actuals to import logged time from the PSA. Actuals feed into the calibration engine to sharpen future estimates.
