Deliver a project

Hand the estimate to the field as a WBS, and push it to your PSA at the right moments.

The Deliver phase opens on Plan — the project as a phase-based Work Breakdown Structure for your delivery team. All tasks from all cards are grouped by Phase in the configured delivery order.

• Each task shows its name, parent card, and estimated hours
• Expand any task to see its checklist items — check them off as work is completed
• Export XML in the handoff strip downloads a Microsoft Project-compatible file. It is always available, connected or not
• If the project is linked to a PSA, Sync plan pushes the WBS and can be run as often as you like — it overwrites the previous plan. The strip tells you when it last synced and warns if the estimate has changed since
• Pulling logged time belongs to the Review phase, not this one — each phase owns exactly one integration direction

Two-stage PSA workflow

DarkBird follows the natural PSA sales-to-delivery pipeline:

   Link the opportunity

   In the Estimate phase strip, click Link opportunity and pick the existing opportunity in your PSA — for HaloPSA, a ticket of your Opportunity type. The PSA opportunity is the hub: everything else hangs off it. DarkBird never creates opportunities in your PSA; create it there first if it does not exist.

   Quote

   The strip shows where your quote lives, set under Settings → Integrations → Quoting: your PSA's own quoting (Push to HaloPSA quote / Push to ConnectWise opportunity, which sends the BOM and a labor summary onto the linked opportunity), Quoter (Push to Quoter), or none. It is asked and shown the same way for every PSA.

   Win & Convert in PSA

   When the opportunity is won, convert it to a project inside ConnectWise or HaloPSA using your normal workflow.

   Link the won project

   Back in DarkBird, open the Deliver phase and click Link won project, then find the newly created project. The project link replaces the opportunity link; the opportunity id is kept alongside it.

   Iterate with Sync Plan

   In the Deliver phase, use Sync plan in the handoff strip to push the latest WBS (phases, tasks, budget hours) to the PSA project. Push as often as needed — it overwrites the previous plan.

   Mark as Won

   When the bid is won, click the circular arrow beside Estimate in the phase bar and confirm Mark as Won. This locks the estimate and moves the project into Deliver.

   Pull actuals

   After the job, advance to Review and click Pull actuals in its handoff strip to import logged time from the PSA. Actuals feed the calibration engine to sharpen future estimates.
