DarkBird vs the spreadsheet
The spreadsheet is the real incumbent in this category. It is also genuinely good at several things. Here is an honest account of where it stops working.
What is Spreadsheets?
Almost every integrator, MSP and low-voltage contractor estimates labor in a spreadsheet, and there is a good reason: it is free, instantly editable, and it fits your business exactly because you built it. For a small shop with one or two estimators, a well-built sheet is hard to beat.
The trouble is structural rather than a matter of skill. A spreadsheet has no memory of what happened after the quote went out, no way to tell you a number is drifting, and no way to be in two people's heads at once.
What is DarkBird?
DarkBird is a labor estimation engine for AV integrators, MSPs, and low-voltage / security firms. It encodes how long installs actually take as reusable Install Cards — labor templates with quantity-bracketed hours per task — then scopes new projects through an AI expert interview and generates a client-ready scope of work.
The part no proposal tool does: after delivery, time entries pull back from ConnectWise Manage or HaloPSA and recalibrate every card. Estimates that ran 30% low get flagged and corrected. Your estimating gets more accurate with every completed project.
Where they differ
Agent-callable API
DarkBird
A live Model Context Protocol server with eight tools plus a REST API, both on an org-scoped key. Your Install Cards, projects, current suggestions and estimate accuracy are readable from Claude or any MCP client. Decisions that rewrite estimating data stay with a signed-in Owner or Admin.
Spreadsheets
Not part of their public positioning.
Where the hours come from
DarkBird
Install Cards with quantity-bracketed hours per task, adjusted by a multiplier computed from your completed projects.
Spreadsheets
Numbers typed in once, usually by the most experienced person, and copied forward from the last similar job.
What happens when a job runs over
DarkBird
Variance is computed per task at closeout and the card multiplier moves, so the next estimate is already corrected.
Spreadsheets
Nothing, unless somebody remembers to go back and edit the sheet — which is the step that never happens.
Who can estimate
DarkBird
Anyone, through a scoping interview that asks the questions a senior estimator would and recommends cards with calibration applied.
Spreadsheets
Whoever understands the sheet. That knowledge leaves when they do.
Consistency across estimators
DarkBird
One shared card library; the same scope produces the same hours regardless of who scoped it.
Spreadsheets
Forked copies. Three estimators usually means three subtly different versions of the truth.
Connection to delivery
DarkBird
Pushes a phase-based work breakdown into ConnectWise Manage or HaloPSA and pulls time entries back.
Spreadsheets
Re-keyed by hand into the PSA, or not at all.
Spreadsheets is likely the better fit if…
- You are a one- or two-person shop and the estimator is also the person doing the work — the feedback loop is already closed, in their head.
- Your projects are small, similar, and rarely surprise you.
- You need total flexibility for genuinely bespoke one-off work that no template would fit.
DarkBird is likely the better fit if…
- More than one person estimates, and their numbers do not match.
- You suspect certain job types consistently run over but cannot prove which, or by how much.
- The person who built the sheet is a single point of failure — or has already left.
- You want the reason a project missed to change the next estimate without anyone remembering to do it.
Frequently asked questions
Can we import our existing spreadsheet?
Not as a direct file import. The faster route is connecting a PSA: DarkBird reads your product catalog and proposes a starter Install Card library from it, and can mine historical actuals to seed calibration. The paid Concierge service exists for shops that want an expert to build the library from their own spreadsheets and history.
Will we lose the flexibility we have now?
Cards are fully editable, and a project can always be adjusted by hand. What you give up is the freedom for every estimate to be a slightly different invention — which is the point.
How long until it beats our sheet?
On day one it is roughly as good as the knowledge you put in, which is why the starter library matters. It passes the spreadsheet once completed projects start feeding actuals back, because that is the loop a spreadsheet structurally cannot have.
