Honest comparison

DarkBird vs QuoteWerks

These are not the same category, and most shops that compare them end up needing both. Here is the honest split.

What is QuoteWerks?

QuoteWerks positions itself as "Built for teams selling configurable products and services," with the promise to "Configure, Price, and Quote with Confidence." It serves MSPs and IT solution providers, AV and systems integrators, security and alarm integrators, manufacturers, and SMBs.

Its strengths are quote production and pricing control: templates, approval workflows, e-signature, payment collection, and an unusually deep integration surface — it advertises over 115 integrations across CRM, PSA, accounting and distributor systems including ConnectWise, Autotask, QuickBooks, Ingram Micro and TD SYNNEX.

What is DarkBird?

DarkBird is a labor estimation engine for AV integrators, MSPs, and low-voltage / security firms. It encodes how long installs actually take as reusable Install Cards — labor templates with quantity-bracketed hours per task — then scopes new projects through an AI expert interview and generates a client-ready scope of work.

The part no proposal tool does: after delivery, time entries pull back from ConnectWise Manage or HaloPSA and recalibrate every card. Estimates that ran 30% low get flagged and corrected. Your estimating gets more accurate with every completed project.

Where they differ

Agent-callable API

DarkBird

A live Model Context Protocol server with eight tools plus a REST API, both on an org-scoped key. Your Install Cards, projects, current suggestions and estimate accuracy are readable from Claude or any MCP client. Decisions that rewrite estimating data stay with a signed-in Owner or Admin.

QuoteWerks

Not part of their public positioning.

What it is for

DarkBird

Deciding how many labor hours the job takes, and proving that number against what happened.

QuoteWerks

Producing, pricing and delivering the quote document once the scope is decided.

Where the numbers come from

DarkBird

Install Cards with quantity-bracketed hours per task, adjusted by a calibration multiplier derived from your completed projects.

QuoteWerks

Product and pricing data from catalogs, distributors and templates.

After the project ships

DarkBird

Time entries sync back from ConnectWise Manage or HaloPSA, variance is computed per task, and card hours recalibrate.

QuoteWerks

QuoteWerks' public positioning centers on the quote-to-close workflow rather than a post-delivery calibration loop.

Distributor pricing

DarkBird

Not a distributor pricing tool. DarkBird tracks a bill of materials per Install Card option; live distributor feeds are not part of it.

QuoteWerks

A core strength — real-time pricing from multiple distributors in one interface.

QuoteWerks is likely the better fit if…

  • Your bottleneck is producing accurate, well-priced quote documents quickly across a large product catalog.
  • You need live distributor pricing and margin control more than you need labor accuracy.
  • You are product-resale heavy, where hardware margin rather than labor hours decides the deal.

DarkBird is likely the better fit if…

  • Your quotes look fine and your jobs still run long — the problem is the hours, not the document.
  • Labor is a large enough share of the job that a 20% miss on hours erases the hardware margin.
  • You want the reason a job ran over to change next quarter's estimate automatically.

Frequently asked questions

Can we use DarkBird and QuoteWerks together?

They solve different halves of the problem, so yes in principle — DarkBird decides the labor, a CPQ produces the document. DarkBird does not ship a QuoteWerks integration today; its CPQ integration is with Quoter, and it pushes projects and work breakdowns into ConnectWise Manage and HaloPSA.

Is DarkBird a QuoteWerks alternative?

Not a direct one. If you need distributor pricing feeds and high-volume quote production, QuoteWerks is the more established fit for that job. DarkBird replaces the spreadsheet where you work out the hours before the quote gets built.

Does DarkBird produce a client-facing document?

It generates a client-ready scope of work with assumptions and exclusions derived from the scoping interview, reflecting calibrated hours. It is a scope document, not a distributor-priced product quote.
